Job Overview/Summary:
The Data & Documentation Officer is responsible for managing data collection, entry, analysis, storage, and documentation of project activities to support program implementation and reporting. The role ensures proper documentation of program outputs and outcomes, supports the development of evidence-based reports, and maintains an organized and accessible filing system for project records and communications.
Major Responsibilities:
Data Management
-
Collect, compile, and enter program data from field activities into databases or tracking tools.

Ensure data quality by conducting regular verification and validation checks.

Maintain updated records of beneficiaries, activities, and outputs for ongoing projects.

Support in the design and maintenance of data collection tools (forms, surveys, spreadsheets).
Documentation
-
Maintain organized and up-to-date documentation of all project-related records, including reports, meeting minutes, beneficiary lists, photos, and other materials.

Prepare summaries, activity reports, and documentation for internal and external use.

Archive hard and soft copies of project documents in a systematic manner.

Assist in documenting lessons learned, best practices, and case studies from field activities.
Reporting Support
-
Provide accurate and timely data and documentation to support narrative and statistical reporting to donors and stakeholders.

Contribute to the preparation of monthly, quarterly, and annual progress reports by sharing relevant data and documentation.

Assist in preparing presentation materials, infographics, and data visualizations when required.
Coordination and Field Support

Liaise with field staff to ensure timely submission of data and documentation from project sites.

Provide support in organizing and documenting workshops, trainings, and community consultations.

Conduct field visits as needed to collect and verify data and gather supporting documents.
Job Specification:
Education & Experience
-
Bachelor’s Degree in social sciences, economics, statistics or in any other related subject
-
At least 1 years of work experience preferably in NGO setup.
Demonstrated Skills and Competencies:

Knowledge & understanding of participatory approaches (PRA, PRRA, Participatory monitoring) & result based management.

Understanding of local community and related cultural sensitivities

Ability to influence and engage with a wide range of stakeholder group

Knowledge & understanding of social sector approaches, interventions & community-based practices.

Knowledge and understanding of Emergency related intervention, practices, policies, laws, approaches.

Knowledge & understanding of Project execution at field level
Language Skills:

Fluent, professional level speaking, reading, and writing in English and Urdu. At this level, applicant should have:
